3 ways to share your Google contacts with your team

Discover folk - the CRM for people-powered businesses

Have a lot of valuable contacts spread out between your work and personal Google work account?

With everything being everywhere, all at once – you might find it hard to share with your team. Especially when there is a particular contact you want to introduce them to.

Fortunately, there are a few ways for you to share those contacts with your team. Without having to compromise the privacy of your inbox.

In this blog post, we’ll look into how you can do so by:

1. Sharing Google Contacts from Gmail

2. Sharing contacts from your iOS device

3. Using a CRM

Benefits of sharing Google Contacts

Meet a lot of people at networking events? Chances are, you might be adding their contact details on Google Contacts. Amongst these contacts, there could be a potential lead.

By sharing your contacts with your team, you can potentially identify warm leads you’ve already met and start nurturing your business relationship instead of leaving them to gather dust in your Google Workspace account.

How to share your Google contacts with your team

There are a few ways you can do so directly from your Google Workspace that we’ll unpack. But we recommend using a CRM.

1. Sharing Google Contacts from Gmail

If you want to give another Google Workspace user access to your contacts, you can do so without granting them access to your email account. This is done by delegating them access.

To do so make sure your Directory administrator turns on contact sharing. Or, if you’re an admin, you can turn the global Directory on through the Google Admin Console.

Once you’ve done that, simply:

  1. Go to Google Contacts (make sure you’re signed in on your work or school account)
  2. From the top right, go to settings > delegate access
  3. Click invite delegate
  4. Enter the name or email address of the person you want to give permission to manage your contacts (you can enter up to 25 names, separated by commas)
  5. Click send.

Note that:

  • You can only delegate contacts to people in the same domain or org as you,
  • You and your delegate(s) must be signed in to your work or school accounts,
  • You and your delegate(s) have to be on a computer. It won’t work on a phone or tablet device,
  • You can’t view and edit delegated contacts with the Contacts apps from a mobile device.

2. Sharing Google contacts from your iOS device

This can only be done by syncing Google Contacts with your mobile device or computer. If you change a contact somewhere, once you sync your Google Contacts to a phone, tablet or computer, that contact will change everywhere.

To do this on your Mac, simply:

  1. Open System Preferences
  2. Click Internet Accounts > Click Google
  3. Enter your email address and password > Click next
  4. Check Contacts > Click done.

To do this on a Windows computer:

  1. Open settings
  2. Click Accounts > Email & App Accounts > Add an Account > Google
  3. Enter your email address and password
  4. Review permissions > Click Allow > Click Done.

3. Using a CRM

For a less cumbersome way, we suggest using folk. An all-in-one CRM that can sync with all your contacts from Gmail to Outlook. This way, you and your team will be able to access them with leads and build relevant contact lists and manage pipelines collaboratively.

folk is an all-in-one CRM

All you have to do is:

  1. Download folk
  2. Connect it with Google Contacts

folk’s contact sync feature will then automatically import and sync your Google contacts. Once installed, folk’s integrations can help you:

  • Import contact profiles directly from Gmail conversations in one click
  • Import calendar events into your folk CRM
  • Automatically fill in missing gaps in your contact information by enriching your contacts through Dropcontact

There’s also a handy Chrome extension that can import search lists from LinkedIn (including Sales Navigator) including individual profiles.

Conclusion

Sharing your Google contacts with your team the Google way is quite cumbersome. But it doesn’t have to be! By using a CRM, you and your team will be able to get access to everyone’s contacts in one place. Without risking the privacy of your inbox, or manual error that can occur during setup.
